# How to begin your journey as an organizer

# How to add more organizers / leaders

2. Go to **Team**
3. Add the email of the new organizer and click **Save**
4. The new teammate will receive an invite email to accept the role and access the dashboard.

6. Remove / Remove and block members who might be violating community code of conduct

Go to the sidebar from the top right and select your community name, it will open the admin panel.

Events are an important part of a community's engagements. With Commudle you can organize events at any scale from a single dashboard!

# General Email

Send an email to all your members

A general email sends an email to all the members of your community.

1. Go to your community admin dashboard and click the '**Send Emails**' button\

   \- Leave the 'To' field blank to send it to everyone\
   \- Fill '**Subject**' and '**Message From Organizers**' fields
3. Click '**Send Email**' button.

You can send a test mail anytime by entering a specific e-mail or if in case you want it to be delivered only to one specific person.

# How to send images in emails

### You can send images in emails by following these steps

* Create a document in Google Docs and Choose the draft mail option
* You can add the image to the draft mail and copy that draft mail
* Visit the admin panel of your community, where you will find the send email button
* Paste that copied draft mail to the message description and then add all the necessary details
* Click on the send button to send the mail with the image inside

# Email Previews

Commudle now offers a powerful **Email Preview** feature, enabling you to see exactly how your email will appear to recipients before sending it. This feature is available across all major communication modules, including community-wide emails, event invitations, and hackathon notifications.

**Where You’ll Find Email Preview**

* **Community Emails**: When sending announcements or newsletters to your community members.
* **Event Emails**: When inviting users to events or sharing event updates.
* **Hackathon Emails**: For registration invites, status updates, and winner announcements.

**How to Use Email Preview**

1. **Compose Your Email**\
   Enter your subject, recipient(s), and message content in the email editor. You can use formatting options, add links, and insert images as needed.
2. **Click “Preview Email”**\
   Before sending, click the **Preview Email** button located below the message editor.
   * This action will open a modal window displaying a full visual preview of your email, including branding, images, formatted text, and event details123.
3. **Review the Preview**
   * The preview shows how your email will look in recipients’ inboxes, including event banners, session details, and any custom content you’ve added.
   * For hackathon communications, the preview includes application dates, hackathon banners, and personalized greetings3.
   * For event emails, you’ll see event titles, schedules, and learning outcomes formatted as they will appear to users1.
4. **Make Edits if Needed**\
   If you spot any issues or want to make changes, simply close the preview, update your email content, and preview again.
5. **Send with Confidence**\
   Once satisfied with the preview, proceed to send your email by clicking **Send Mail**.

# Start with Events

Create, manage and organise all your events in one place.

1. To create a new event, log in to Commudle, **go to the hamburger menu** at the top right.
2. Select your Community Name
3. It will open the the list of events by default.

# How to create a new event

Create a new event add all basic details and start taking down registrations for your event.

Start with **Create New Event button** on the top left and enter all the basic details about your event.

Click to add a header image for the event, select a file from your device.&#x20;

# What are the different event form statuses

* **Yet to announce:** The form is yet to be announced and can't be filled by anyone.
* **Open but invisible:** The form is open, accepting responses but not visible on the public event page & can be only filled by people having the link.  &#x20;
* **Open to all:** The form is open to all and people need to fill the form to register for the event.
* **Closed to all:** The form is closed to all and accepting no more responses.
* On the spot uninvited: To be filled by people who didn't receive the entry pass but somehow made it to the event.
* Members who have attended: The people who've attended the event and their attendance is marked only will be able to fill the form.&#x20;


# What are the different event statuses

Event statuses can be changed from the top left on the event dashboard,

| **Draft**     | Event is not visible on the community page or publicly. However you can still share the link to the public page. |
| ------------- | ---------------------------------------------------------------------------------------------------------------- |
| **Open**      | Event is visible on the public community page and at other public pages on Commudle.                             |
| **Completed** | Event is visible publicly as a Completed Event                                                                   |
| **Canceled**  | Event is not visible publicly unless someone has a link. The status on the public page is visible as canceled    |


# How to send the registration or call for speaker form to all community members for my event

You can send a pre-formatted email from your event dashboard with the link to register to all your community members

1. Go to **Event Dashboard > Registrations**
2. Click **Send by Email**&#x20;
3. Add any additional message to the email, this will be a preformatted email with pre-filled information from the event description.
4. Click **Send**

You can change the subject to make it more attractive to the members to open the email. The reply-to email and the sender name will be your community's email and name mentioned in the community details.

1. Go to **Event Dashboard > Registrations**&#x20;

4. Set the feedback form status to **members who have attended**.


# How to manage event registrations with smart shortlisting

Learn to shortlist members, send them RSVP and Entry Passes over email.

Use smart shortlisting to increase your turn up rate at the events

| **registered**      | Default status for when someone registers for the event                                                                                                                         |
| **waiting**         | This is used to create a waitlist if you have more registrations than expected                                                                                                  |
| shortlisted         | <p>This is a pre-confirmation stage<br>- This enables you to send RSVP emails where users can choose 'YES' or 'NO'. It acts as a reconfirmation and increases turn up rate.</p> |
| confirmed           | It means that you are confirming the seat of the person. This option will allow you to generate an entry pass.                                                                  |
| cancelled           | <p>Not selected to attend the event<br>- The registering user can also cancel their entry pass or RSVP from the link in their email</p>                                         |

Click on the **CSV** button on the top and you'll receive an email with all the responses in .csv file attached to the email.

* Entry pass mails have a unique code for everyone and a QR code associated with the unique code which is used for marking attendance in offline events.
* Entry pass mails also gives you an addon to add the event to your calendar with just a click.

#### RSVP Mails

When using forms you get a new option for registration status i.e shortlisted using which you can ask up people if they'd be joining for the event or not.&#x20;

* As soon as someone marks "Absolutely, I'm in!" in the mail he/she gets marked as confirmed in the registration status tab.
* If in case a user clicks upon "Next Time, May be" he/she gets marked as canceled in the user registration status tab.

# How to filter attendees based on their community engagements

Shortlisting the right attendees for your next event is a big task, but Commudle makes it an easy job with the right set of filters. Now you can filter based on responses to questions, gender, name, email, etc. and the most important, based on the past interactions of the person with your community and with their overall event attendance rate with all communities across Commudle!

So if someone's registering repeatedly but never got a chance, this might be the right time, or if someone has skipped multiple events after receiving an entry pass, you might want to skip them this time.


# How to do bulk status change for entries in my event

Change the status of registrations from one status to another with just a simple click.

A lot of times you want to transfer all the people from a specific status to another. Commudle takes care of this via the bulk status change feature on the list of registrations dashboard.

This makes your life as an organizer easier if you want to cancel everyone who is in the waitlist or who is in the shortlist and didn't respond.


# How to send RSVP emails to shortlisted members

RSVP emails help re-confirm with attendees who have filled the form as to whether they want to attend the event or not

1. Go to **Event Admin Dashboard > Registrations**
2. In the desired form click **Show Responses**
3. Click **Send All RSVP Emails**
4. Add any additional message or change the subject if needed
5. Click **Send**

The shortlisted attendees will recieve an email with a Yes and a No button upon clicking which their status will be confirmed or cancelled.


# How to send entry passes to confirmed attendees at my event

Entry emails help attendees to identify the validity of the event and helps increase the turn up rate

1. Go to **Event Admin Dashboard > Registrations**
2. In the desired form click **Show Responses**
3. Click **Send All Entry Pass Emails**
4. Add any additional message or change the subject if needed
5. Click **Send**

The confirmed attendees will recieve an email with a QR code and the event details.


# How to turn off RSVP's and Entry Pass Cancellation

1. Go to **Event Admin Dashboard > Registrations**
2. Select the desired form and toggle using the respective switches for RSVP and Entry Pass cancellation


# How to add collaborating communities to my event

Collaboration helps you grow your community and also leverage & support other communities.

1. Go to **Event Admin Dashboard > Collaborations**
2. Enter the name of the community you want to add, a dropdown will appear with the list of matching names
3. Select the desired community. An invite email will be received by them.
4. Once they accept the email invite, their community will be listed under collaborations on the public page of your event and your event will be listed under the list of upcoming events on their community's public page.

# How to post public updates for my event

Posting updates helps keep the members updated about the latest news from your event.

1. Go to **Event Admin Dashboard > Send Updates**
2. Add an updated in the text box and attach any pictures if needed
3. Click **Send Button**

Everyone who has registered for the event will receive notification under the **🔔** icon on Commudle.


# How to add location and agenda to my event

Host a simple offline event with a single track or a complete conference with multiple tracks, sessions and even across multiple locations!

Multiple tracks are for long conferences or any event having multiple sessions with multiple speakers.&#x20;

* You can choose between an online (live streaming) and an offline (at a physical space) event
* An event can have multiple locations (physical or online)
* Each location can have multiple tracks.
* Each track can have multiple speaker sessions in timed slots


# How to setup live streaming for my online event

Commudle supports live streaming with:

1. Commudle stage with Youtube Broadcasting
2. Embed YouTube video if you are using an external source of streaming
3. Embed external link like Google Meet or Zoom

It's a seamless process to setup YouTube streaming by linking your YouTube account to Commudle


# How to upload a speaker's slides for my event

Adding a speaker's slides helps your attendees access it later, it gives visibility to the content and profile of the speaker also and most importantly it removes the hassle of sharing the slides separately across teams and attendees pre- and post- event

Slides can be in the following format

1. Embed google slides
2. Add a link
3. Upload a pdf

In addition to this you also need to mention the session title and description alongside. Make sure you add these slides or request the speaker to add it for a seamless experience for the attendees.


# How to add volunteers and teammates to my event

1. Go to **Event Admin Dashboard > Team**
2. Enter Teammate's email and click **Add**
3. The teammate will receive an invitation over email, once they accept, their name will start appearing on the public event page

# How to scan entry passes and mark attendance at an event

QR Code scanner is built into Commudle for the entry passes which you send to your confirmed attendees & speakers

Forms are reusable, they can be used to attach in events for registrations, call for speakers, etc and to create independent community surveys too.

Create a new form using **Create New Form** button.

You can:

* Reorder questions with drag n drop

# How to publish a newsletter in your community

   4. Choose the editor type (rich text editor or drag n drop editor)
   5. Create content of the editor
   6. Click **Save & Publish** if you are ready to publish, or you can save a draft also
5. It will take you back to the list of newsletters
6. Here you can choose to publish and schedule an email to all your members

# How to deactivate or delete your Commudle profile

Here are the steps to allow you to deactivate or delete your Commudle profile

1. Go to your **Community's Admin Panel**<br>

# How to add hackathon dates, social links and other details

# How to add tracks and prizes to my hackathon

### Tracks

Add multiple tracks to your hackathon for different problem statements, add multiple problem statements to each track.

1. Go to **Tracks & Prizes** from the left hand side menu

3. Go to **Tracks & Prizes** from the left hand side menu and select the **Prizes** tab.

2. Click **Add Prize** to see a form which will help you add the prize

| **Number of Winners** | This is to display how many winners will be there for this specific prize                                                                                                  |
| **Description**       | Add any specific details you might want to share here about the prize                                                                                                      |

4. Click **Save** to update the registrations.

# How to Filter Teams & Projects On Applications Dashboard

Commudle now supports advanced filtering for projects and teams in the Hackathon dashboard. This feature allows admins and organizers to quickly locate specific applications or participants based on various criteria, improving efficiency and management during hackathons.

**Where to Find the Filters**

Navigate to your Hackathon dashboard and select **Applications & Projects** from the left sidebar. The filter options are located above the list of teams and projects.

**Available Filter Criteria**

You can filter the list using the following fields:

* **Name**: Search by team member or user name.
* **Email**: Search by the email address associated with the application.
* **Project**: Search by project name or linked project.
* **Status**: Filter by application status (Accepted, Registered, Rejected, Waitlisted).
* **Round**: Filter by the current round of evaluation (Judging Round, Final Round).

**How to Use Filters**

1. **Text Search**\
   Use the search bar to enter a team name, user’s name, or email. The list will update in real-time to show matching entries.
2. **Filter by Status**\
   Click the **Filter with status** dropdown to select one or multiple statuses (Accepted, Registered, Rejected, Waitlisted). The list will show only applications with the selected status1.
3. **Filter by Round**\
   Click the **Filter with round** dropdown and choose the desired round (Judging Round, Final Round) to display only those teams/projects in the selected round.
4. **Combined Filters**\
   You can combine filters (e.g., search for a name and select a specific status and round) to narrow down results further.

**Example Workflow**

Suppose you want to view all teams in the "Judging Round" that have been "Accepted":

* Select **Judging Round** from the "Filter with round" dropdown.
* Select **Accepted** from the "Filter with status" dropdown.
* The dashboard will display only those teams/projects that match both criteria13.

# How to migrate my existing community to Commudle

When you have your developer community on another platform, it's easy to migrate the existing active members to Commudle. Let's see how.

Before migrating, we need to understand that not 100% members in your existing community ecosystem would be active. For most of generic community platforms, the number of active developers in their communities is under 30%. Which means, 70% members are inactive or haven't even viewed your community for a long time. &#x20;

Update the description of your community page mentioning the new migration link. The message can look like this.

* Create your next event on both old platform and Commudle.
* On the existing platform, add the link to registration as external link and use the link to your event from Commudle on the old platform.
* When someone registers for your event they will automatically become a member of your community.
